CAP Notes Update

In accordance with new Medicaid requirements in North Carolina, we have updated our CAP Note and its printed report. We have added "time in" and "time out" controls to the CAP Note.

Creating a CAP Note

When creating a new CAP Note, you will be required to specify a "time in" and a "time out". These new fields are found between the "Comments" field and the "Hours of Service" field.

Printing a CAP Note

When printing the note, each entry will now include the "time in" and "time out" that was submitted at the bottom of each report section.

There are also updates to the header to match recommendations from NC Medicaid, as well.

Billing Information in Note Centers and Notes

In order to assist clinics in minimizing information available to non-billing users, we have made the following updates to Note Centers and Notes.

Note Centers

Billing status information on the PIE chart in note centers is now only visible by Billing Managers and Admins.


Billing status information when viewing notes is now only visible by Billing Managers and Admins.

File Size Updates in All File Managers

Users may now save files up to 12MB in size in all file managers within ShareNote. The same file types are allowed as previous and the only affect is that the files may be larger in size.

Only View Your Events

There is a new setting in your Staff Profile that allows you to only see only your events in both the Scheduler and in the Dashboard under "Today's Appointments". You will still see company-wide events if you choose to enable this setting.

How to Enable

  1. After logging into ShareNote, click the "My Profile" link at the top-right of any ShareNote page.

  2. On the "Staff Details" page, click "Edit Staff Details".

  3. Scroll down to the "General ShareNote Settings" section.

  4. Check the "Show Only My Events?" checkbox.

  5. Click the "Update" button to activate. Done!

Custom Provider Programs Now Show in Client Profile

We had a previous issue where custom provider programs were not available for selection in the Client Profile. This issue has been resolved and all custom programs created in the Lists Manager are now available in the Client Profile.

Import Staff Information with NPI Number

We've now made it easier to add staff to ShareNote using NPI numbers. When adding a new staff, there's now an input at the top of the form to input that staff's NPI number (if they have one assigned).

Once you add the NPI number, click the green SEARCH NPI REGISTRY button.

If the NPI number is a valid number, the information for the client will auto fill in the appropriate boxes leaving just a handful of items that are needed to complete the staff registration.

If the NPI number is invalid, you will be alerted, as well.

Adding Services in the Services Manager

We have made a small change to how services are added in the Service Manager that will make a huge impact.

  1. When adding a new service, the "Service is Billable" checkbox is now checked by default.
  2. Unchecking this box will result in an alert opening to confirm that you wish for the service to not be billable.

Client & Staff Email Validation

ShareNote is now validating staff and client emails when added or updated in the Client and Staff Profiles. If the email address submitted is invalid or fails our third-party verification, the user entering in the information will be notified immediately in that section. This will help to mitigate clients and staff not receiving messages due to misspellings, fake addresses, etc.

If you receive a message that an address is invalid that you're certain is not, please contact our Support Center and let us know the address so that we can investigate.

Email Validation

Due to recently receiving an abundance of bounced emails that failed to deliver, ShareNote has employed a third-party validation service for all email addresses for user and client emails in the system. This validation service runs each email address through a validation process to ensure the validity of the email address.

Please note that if you see a red bar at the top of ShareNote stating that your email address is invalid, it is because the email address provided did not pass the third-party validation. In those instances the email address either is invalid because it is incomplete, has a comma instead of a period, a misspelling or something of that sort; or the email (or domain) has been put on a list as a bad email address.

If you're seeing the notification, please check your email address, and if you feel it is correct send a message to Support at so that we can investigate further.

Note Creation Blocked if Treatment Plan Goals Expired

Administrators may now set ShareNote to disallow the creation of notes if the selected client's treatment plan goals are expired.


To activate this feature, an administrator can browse to MANAGERS > PREFERENCES from the main menu, then scroll down and expand the NOTE PREFERENCES section. Checking the checkbox beside, "Disable new notes for client if treatment goals have expired", will activate this feature. Unchecking it will deactivate it.

This feature is deactivated by default.


If this feature is activated and a user attempts to create a note, they will be met with an alert message letting them know that all of the goals for the selected client are expired with a link to take them to the Goal Manager for that client.
