Scheduler: Client Name added to description automatically

When creating events in the Scheduler, if you're creating a client event (including telehealth) the name of the client will automatically be added to the description in parentheses: ex. "Session Name (lastname, firstname)".

Client Signatures on Treatment Plans in the Patient Portal

You can now require client signatures for treatment plans in the Patient Portal. To activate this feature, a location admin will need to browse to Managers > Preferences > Documentation Requirements. Ensure that the checkbox titled, "Enable Patient Portal Client Signatures for Treatment Plan", is checked.

Notes: Completion of notes dependent upon Client Requirements

Another highly requested addition from our ShareNote users, notes now cannot be completed if there are outstanding Client Requirements for the client.

When creating a note, you will now see a new section titled, "Client Requirements Outstanding". This section will be the standard grey color if there are no overdue Client Requirements.

If there are overdue Client Requirements, there will be a number beside the title, and the section will be red. Clicking the down chevron beside the title will open the list of overdue requirements that must be completed before the note can be submitted. (If "Save Progress" is enabled for your organization, you will still be able to save the note but will not be able to mark it as complete and sign.)

Notes & Assessments: EBP Codes now available

Beginning July 1, 2020, some insurances for Louisiana providers now require EBP Codes to be added to the note/assessment and claim when submitted for billing. For clinics that bill insurances that require these, ShareNote now allows for simple integration and adding of codes to notes and assessments, along with validations that the correct EBP code is being used with the correct service code.

Setting Staff Access

  1. For the staff that require access to EBP Codes, browse to their Staff Profile in ShareNote.

  2. Click the Edit Staff Details button.

  3. In the General ShareNote Settings section, select the checkbox labeled, "Show EBP Codes?".

  4. Click the Save button.

Using EBP Codes in Notes

  1. When creating a new note, if the staff creating the note has "Show EBP Codes?" selected in their profile and the service code chosen matches one that requires an EBP Code, a drop down list of EBP codes will appear beneath the Service Type drop down list.

  2. An EBP Code must be selected to be able to complete the note. Only the EBP Codes valid for the Service Code selected will show.

Using EBP Codes in Assessments

The codes work exactly the same in assessments as they do for notes. If you select a service code that matches an EBP Code and completing staff is required to add this information, a new drop down list will show with appropriate EBP Code options.

Claims and Billing

ShareNote will automatically send the EBP code with the notes and assessments claims when billing. Your staff will have nothing else to do.

Subscription Manager Access

In order for more than just one person to help manage your clinic's subscriptions in ShareNote, we have added the ability for more than one user to be indicated as a Subscription Manager.

What is a Subscription Manager?

A user notated as a Subscription Manager in ShareNote will have the ability to make changes to a clinic's ShareNote subscriptions. This will include adding more users, providing telehealth access to staff, adding prescribers to the eRx system, and more.

How can I make a staff member a Subscription Manager?

If you are a Primary Contact or Subscription Manager for your clinic, you will see a new checkbox in the Staff Profile for all of your staff titled, "Is Subscription Manager?". Checking this box and saving the update will enable the chosen user to manage subscriptions.

As with our Billing Manager indication, only the Primary Contact for the clinic or another Subscription Manager can assign Subscription Manager capabilities to other staff.

Legend added to CAP note printouts

To help with readability when printing out CAP notes, we have added a legend to the bottom of the printed report notating what each set of initials mean for the Intervention and Assessment sections.

Client Profile Updates

Two new items have been added to client profiles for quick viewing in the Client Manager. These can be set in the client's profile as seen below.

  1. Client Substance Abuse - This checkbox is used to notify the client's care team of any substance abuse by the client. (Notated as a blue gavel icon in the Client Manager.)

  2. Court Appointed - This will notate if the client is seeking court appointed services. (Notated as a green asterisk icon in the Client Manager.)

Policy Number not populating when printing Treatment Plans

We were recently alerted of an issue where the client's policy number was not populating when printing out treatment plans in some instances. We have addressed this issue ensuring that the policy number prints on each treatment plan.

Access Client Info from Today's Appointments on the Dashboard

As yet another quick way to access a client's profile, ShareNote users are now able to click the name of the client from Today's Appointments in the Dashboard to be taken directly to that client's profile.
